Email Newsletter Management
- Operation on Email Newsletter List Page
On the Newsletter List Page, you can check all newsletters created so far.
■Check the Newsletter List
You can check “Status”, “Sending Start Date”, “To”, “Number of Sent Emails”, “Title”, “Body”, “Number of People who Clicked”.
Click the margin of each row to navigate to the Confirmation Page and click the [Edit] button to navigate to the Edit Page.
Status
Display the status of this newsletter: “Draft” or “Valid”. “Valid” and “Unsent” newsletter will be processed.
Sending Start Date
Display the “sending status of this newsletter” and “sending start date”.
Refer below for more details of the status.Unsent: Indicates this newsletter has not processed yet.
Sent Successfully: Indicates this newsletter has already sent.
Sending: Indicates this newsletter is currently processing.
Sending Failed: Indicates this newsletter has failed processing with some sort of reasons.
To
Display the type of destination: “All Users”, “Select Users”, or “Select Companies”.
If it is “Select Users”, display the user name of the destination.Title
Display the title of a newsletter.
Body
Display the body of a newsletter. If it would not fit in a first-view, you can see them all contents via scrolling.
Display the number of emails that actually sent.
Displays the number of times the article set in the e-mail newsletter is clicked.
Users are the number of unique users, and the percentage display shows what percentage of unique users clicked on the article URL of the e-mail newsletter.Edit
You can edit the newsletter only when the status of “Unsent”. In the case of “Sent” status, you can copy the base newsletter to create a new one.
- Operation on Email Newsletter Edit Page
On the Email Newsletter Edit Page, you can create/edit an email newsletter or make detailed settings.
Up to 10 articles can be set in an email newsletter. If you set 10 entries, the mail capacity will be about 2MB.■Structure of the email newsletter body
The text of the email newsletter consists of the following contents.

——————————■Operation on Email Newsletter Edit Page
Detailed settings for the email newsletter are displayed in the editing area. Edit as appropriate.
You can set the status of this email newsletter.
・Draft
Draft status. Email newsletter with this status will not be sent even when the set date arrives.
・Valid
To-be-transmitted status. When the set date arrives, the transmission process starts.
You can specify the destination of this email newsletter.
・All Users
If you select this, newsletters are sent to all users who have “Status Enabled” and “Subscribe email newsletter (default)”.
Distribution to all users is possible only twice a day. For users with unavailable email addresses, set in advance to unsubscribe email newsletter from User Management Page.・Select Users
If you select this, the destination (user) can be specified individually for each email newsletter. Only the specified users will receive the newsletter.
・Select Companies
The company that the user belongs to can be specified. An email newsletter will be sent to users who belong to the specified company and have enabled email newsletter subscription settings.
You can set the date and time to start sending email newsletters in 10-minute units.
You can not set a date in the past or create 2 or more email newsletters of the same Send Date. This date and time indicates when the system starts the sending process, not the time when the email arrives at the user. It takes about 5 minutes per 1,000 people as a guide for the time to complete the transmission process. Even if the sending process of the email newsletter is completed, the process may be delayed if a large amount of email is received by the receiving email server, and it may take some time for the email to arrive.
If the email does not reach the user after a while, please check the spam filter of the receiving email server. If you cannot solve the problem, please contact the XBOARD service administrator (sales representatives).Subject <Required>
You can set the Subject of an email newsletter with up to 100 characters.
Automatically insert username at beginning of sentence
The destination user name is automatically inserted at the beginning of the email text.
Beginning of Message
You can set opening lines/greeting of email body with up to 500 characters.
Entry Introduction
You can register up to 10 entries to be inserted into the email body. Entries are listed maintaining the same order as this page.
If you want to change the order, you can arrange it by dragging the “Entry Introduction ≡” part.
Entry Introduction body
Description of each entry (arbitrary, maximum of 100 characters) can be set.
Entry Title& URL
You can select the entry to be added to the email body from the drop-down list. It displays up to 200 “approved” entries in descending order of the publish date. If you want to set an entry before the recent 200, check “Select from All Entries” to add the entry to the drop-down list.
When you select an entry, the main image of that entry is displayed in preview. Click the [Confirm] link to display the Entry Confirmation Page for the relevant entry.End of Message
You can set the conclusion for the email newsletter with up to 500 characters.
- Operation on Email Newsletter Confirmation Page
On the Email Newsletter Confirmation Page, you can verify the contents you created, send a test email, and copy/delete the email newsletter.

Please verify the contents that are the same as you intended.Body
The content consists of the “Beginning of Message”, “Entry Introduction”, and “End of Message” which set in the Edit Email Newsletter Page.
■Confirmation Page of Email Newsletter (navigated from list page)
Once you click an already created email newsletter from the Email Newsletter Management Page, navigate to the Email Newsletter Confirmation Page. There are “Test Mail”, “Copy” and “Delete” functions which are available only from this page.
Test Mail
You can send a test-mail to the currently logged in user. The content is the same as the email that actually sends.
Copy
Creates a new email newsletter by copying the selected one. “To”, “Subject”, “Beginning of Message” and “End of Message” are inherited.
Delete
Delete the selected email newsletter. After the email transmission process has started, it can no longer be deleted.
■Confirmation Page of Email Newsletter (already send)
Access to the already sent Email Newsletter Confirmation Page from the Email Magazine Page.
Below the contents of the email newsletter, log information (by newsletter), log information (by entry), and error log are displayed.The number of users actually received this email newsletter.
The number of unique users who clicked on the URL within this email newsletter.
The rate(%) of users who clicked on a link within this email newsletter out of all users.
Log information of each entry included in this email newsletter. Click “Expand/Close Details” to see the breakdown. You can see which user clicked which entry.
Shows the number of “unique users“ who clicked the entry.
If you get any response from the destination mail server when sending an email newsletter, an error log will be recorded.
User’s receive setting with the following errors will be automatically switched [OFF].
◆Examples of errors
・Email address doesn’t exist.
・The address that has been added to a suppression list.
・The address that has set to auto-reply mode.
・Recipient inbox is full.
・Exceeded maximum email size supported by the recipient email provider.
・Contains content not supported by the recipient email provider.
・Contains attachment not supported by the recipient email provider.
・Regarded as unapproved or spam mail.※If you set 10 entries, the mail capacity will be about 2MB.
